Document status is distributed across the authenticated boards so the workspace stays focused. Once you know which route owns which state, it becomes much easier to answer who needs to act next.

Before you begin

At least one draft or sent document in your workspace

Access to the authenticated app boards

Awareness of whether you are following sender or recipient state

Watch drafts and prepared work in Documents

Documents is the broad workspace board for drafts, recent work, and sender activity.

Use it to spot packages that still need recipients, settings review, or final send actions.

Use Sent, Pending, and Inbox for active workflows

Sent keeps sender-side activity together, including reminders, resends, and void actions.

Pending and Inbox help separate packages waiting on others from packages waiting on you.

Move to Completed for artifacts

Once everyone has finished, use Completed for signed PDFs, certificates, manifests, and audit-oriented actions.

Completed is the best destination when the question is evidence or export, not workflow follow-up.

Pro Tips

Do not use Documents alone to judge recipient progress once a package is in motion.

Use Sent before you follow up so you can see whether a reminder or resend is actually needed.

Use Completed when legal or operational teams ask for artifacts.
